The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The incumbent will be responsible for a broad range of administrative and operational matters.

Responsibilities

Specific responsibilities include, but are not limited to, the following:

  • Manages the Chair’s complex schedule, including scheduling and confirming meetings, handles travel arrangements, and develops itineraries and agendas.
  • Coordinates departmental seminars, monthly faculty meetings, special recruitment seminars, departmental retreats, and other departmental events.
  • Assists the Chair and Departmental Administrator by welcoming visitors and preparing/reviewing departmental communications and other correspondences.
  • Prepares and processes travel expense reports for the Chair, BMB faculty & staff, and seminar speakers.
  • Orders general departmental supplies, processes account payable vouchers and transactions, enters purchase orders, journal entries, and reconciles p-card transactions as needed.
  • Updates and maintains the Departmental website.
  • Maintains the departmental space database and assists with new and existing lab setups and/or moves.
  • Handles operational tasks such as submitting facilities, telecom, and IT service requests.
  • Maintains the departmental conference room schedules and submits requests for space and rooms within the Columbia campus.
  • Performs miscellaneous administrative duties as required.

This full-time, five-day-a-week in-person position is designed to ensure efficient, high-functioning infrastructure to support general operations and departmental missions. Please note that BMB is split between two campuses. The candidate will predominantly work on CUIMC but should be willing to occasionally visit and work from the Manhattanville location.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience, plus three years of related experience.

  • Experience in academic settings.
  • Excellent organizational, time management, and decision-making skills.
  • Strong analytical skills, good judgment, and the ability to use critical thinking.
  • Ability to manage a variety of responsibilities at once. Ability to meet deadlines while remaining flexible and handling a variety of changing priorities.
  • Ability to follow up on requests and be highly proactive in interacting with others to schedule complex meetings.
  • Actively seeks opportunities to increase skills and expertise. Remains technically and administratively current in the job.
  • Exceptional customer service skills, a cooperative attitude, and a positive demeanor.
