Summary: Travis Credit Union’s (TCU) Assistant to Board of Directors provides executive level, personalized administrative support in a well-organized and timely manner, often on a one-to-one basis on a variety of paraprofessional and administrative duties involving a high degree of accuracy, confidentiality, discretion, and independent judgement related to assisting the Board of Directors and the Supervisory Committee.

Profile:

  • Completes a broad variety of executive level administrative support and project management for the Board of Directors, and the Supervisory Committee, including but not limited, to managing appointments, completing expense reports, composing and preparing correspondence (confidential and non-confidential), arranging complex and detailed travel plans, itineraries, and agendas, managing industry memberships, and compiling documents for travel-related meetings.
  • Coordinates/plans agendas for both regular and executive sessions for Board Meetings collaborating with other executive administrative staff.
  • Updates and maintains board documents, including, but not limited to conference logs, participation logs, phone logs, lending documents, and travel logs.
  • Organizes all board, supervisory and volunteer subcommittee meeting logistics. Attends, transcribes, and distributes minutes for planning sessions, board, and subcommittee meetings. Provides follow up on all action items and post meeting deliverables.
  • Prepares documents and presentations. Verifies and analyzes information for management use in documents, presentations, etc., for board distribution and inclusion in board reports.
  • Maintains cooperative effective working relationships with and acts as a liaison to the Board of Directors and Supervisory Committee.
  • Coordinates and executes planning sessions twice per year, including, but not limited to location, materials, budget, and account reconciliations.
  • Administers and supports the Volunteer at Large (VAL) program, including, but not limited to planning, communication, materials/presentations, scheduling interviews, and attending VAL sessions.
  • Arranges on-boarding, training, and termination of all Volunteers.
  • Liaises with other departments as needed to provide Volunteers support, including but not limited to, technology and community events.
  • Maintains and provides administrative support to board applications (software).
  • Completes projects as needed and serves as backup to the executive administrative staff.

Skills:

  • Advanced proficiency in Microsoft Office skills (40+ wpm) Word, PowerPoint, Excel, Outlook.
  • Demonstrated organizational skills; proficient in time management with a focus on managing a heavy calendar load, multiple tasks, assigning priorities, and meeting or exceeding deadlines.
  • Strong interpersonal skills including the ability to establish and maintain positive and cooperative relationships with a diverse group of individuals.
  • Ability to deliver quality, timely work within tight deadlines with minimal direction or follow-up.
  • Professional written and verbal communication skills. Ability to interact with all levels of staff and successfully tailor communications according to the audience.
  • Self-motivated, professional, and ability to work in a fast-paced environment that is mission-driven and community oriented.
  • Exercises good judgment and ability to handle confidential and sensitive information.


Reporting and Experience
:
  • Reports directly to the President/CEO.
  • This position has no supervisory responsibilities.
  • Associates degree or equivalent professional experience; bachelor’s degree preferred.
  • Minimum of 5 years executive assistant experience, with a minimum of 3 years providing board and C-suite support.
  • Experience in the financial services industry preferred.

Working Conditions: Work is generally performed within an office environment, with standard office equipment available and usually sedentary in nature . Requires attending meetings and events during evenings and/or weekends. Travel and overnight stays may be required.

Starting salary is commensurate with experience. In addition to our competitive benefits, this opportunity with Travis Credit Union has a range of:
  • Grade 18: $97,947.20/annually - $120,993.60/annually
