esponsibilities of duties as described for both Lake County Housing Authority and AIM North:

Executive Support

  • Conducts research and composes replies to correspondence, detailed activity reports, memoranda, etc.
  • Interview callers and screens telephone calls, answering or rerouting numerous questions, complaints, and requests.
  • Manage reminders, follow-ups, calendar for Executive Director
  • Maintain filing system (virtual and paper)
  • Public relations and outreach support
  • Assist with technology tracking / inventory and ordering office supplies

Freedom of Information Officer (FOIA) & Open Meetings Act (OMA) Officer

  • Within 6 months of assuming position, for FOIA and OMA, successfully complete an electronic training curriculum to be developed by the Public Access Counselor and thereafter successfully complete an annual training program.
  • Responsible for receiving FOIA and OMA requests from the public and to send responses in compliance with FOIA.
  • Upon receiving a request for a public record, the FOIA and OMA officer shall: (1) note the date the public body receives the written request; (2) compute the day on which the period for response will expire and make a notation of that date on the written request; (3) maintain an electronic or paper copy of a written request, including all documents submitted with the request until the request has been complied with or denied; and (4) create a file for the retention of the original request, a copy of the response, a record of written communications with the requester, and a copy of other communications.

Meetings

  • Arrange for LCHA Board of Commissioners Meetings, RAB Meetings And/or Public Hearings
  • Announce all meetings in accordance with Open Meetings Act.
  • Take minutes on behalf of Secretary/Treasurer.
  • Transcribe, type, assemble Minutes.
  • Prepare BOC meeting materials for review by Commissioners prior to meetings.
  • Prepare folders with pertinent BOC meeting data for Commissioners.
  • Assure quorum of Commissioners for BOC meetings.
  • Record proceedings on audio recorder.
  • Post materials relevant to BOC/RAB/Public Hearing meetings on LCHA’s website in accordance with the Open Meeting Act.
  • Arrange and prepare for other meetings, workshops, luncheons, conferences, as assigned.
  • Record Maintenance
  • Maintain a file of minutes and documents pertaining to each meeting.
  • Cross reference files for minutes, resolutions and related documents.
  • Maintain assigned data bases.

Training/Travel Arrangements

  • Schedules trainings as approved by the Executive Director/CEO/CEO and coordinates appropriate travel arrangements.
  • Research and books flights, ground transportation and hotel accommodations, and provides travelers with directions and destination information.
  • Calculates and procures pertinent travel advance payment.
  • Creates detailed itineraries to meet employer-specific budgets and deadlines.
  • Creates and maintains relevant files and databases, and stays in constant communication with employees, travelers and venues.
  • Works with many different departments and varied associates necessitating excellent interpersonal skills.
  • Coordinates traveler’s schedules with business deadlines.

General

  • Sensitivity to confidential matters.
  • Answer routine calls and correspondence.
  • Establish and maintain files of correspondence.
  • Oversee LCHA Website.
  • Assist Executive Director/CEO and other staff, as assigned.
  • Operate office machines and do other ordinary office duties.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
