Under the general direction of the Health Information Manager, the Health Information Coordinator provides administrative support related to storage and retrieval of client records, release of client records, and assignments and terminations on the Virtual Gateway.

How You Will Be Making a Difference

  • Maintain a Client Record data system. Archive or destroy records as appropriate, according to record keeping guidelines.
  • Coordinate with programs to archive records.
  • Serve as the agency’s main point of contact for the record storage company.
  • Respond to uncomplicated inquiries and requests for client records, such as disability applications.
  • Add and terminate providers to/from the Virtual Gateway.
  • Assign clients to providers on the Virtual Gateway.
  • Help monitor the HIM department email inbox.
  • Minimize or eliminate The Home’s liability by utilizing good judgement and following proper procedures.
  • Assist with mailing, preparation of materials, copying, faxing and distribution
  • May order and maintain office supplies
  • May troubleshoot minor problems with office equipment including printers, fax machines, postage machine, and copy machine
  • Participate in special projects as needed

Education and Experience

  • Two years of administrative experience required
  • Must have excellent oral and written communication skills
  • Must be highly proficient with all Microsoft Office applications, Google Chrome, and Microsoft Edge, with the ability to learn new software applications
  • Ability to understand related laws and records procedures
