In this role as a Job Order Technician you will enter job orders into the statewide labor exchange system, EmployFlorida. This position is the centralized hub for job order processing for the region.

Responsibilities:
Scope of Position: This position is the centralized hub for job order processing for the region. It involves an intricate understanding of the EmployFlorida system, Wagner-Peyser (WP) Job Orders, to ensure compliance with verifying employer registrations and documenting and recording job orders. This position must review job orders timely to ensure that they are allowable and in compliance with applicable federal laws, regulations and guidance as well as the Employ Florida Terms and Conditions of Use. This position must adhere to DEO State and local CSTB policies and procedures regarding WP, Employer Services, Job Orders and Placement, etc. This position provides support for the data processing of employer records and postings into the statewide labor exchange system, EmployFlorida. It involves receiving, reviewing and maintaining controls on inputs and jobs for computer processing and reviewing outputs to assure they meet requirements. Review newly posted job orders on a daily basis and comply with established timeliness standards.

Essential Functions:
  • Communicate effectively both orally and written
  • Maintain a customer-focused service delivery system
  • Process large amounts of information (incoming job orders during peak periods) and achieve established results within deadlines.
  • Effectively manage time and ensure all standards are met regarding job order entry
  • Create job postings in the job bank system by means of the Job Order Lead and employers
  • Maintain job orders on EmployFlorida site
  • Review and approve job orders entered by employers on EmployFlorida site
  • Enter all employer data and position descriptions in the job bank
  • Maintain job bank system to ensure accuracy
  • Ensure compliance with verification of employer registration and job order compliance
  • Conduct job order and third-party agent job order verifications in accordance with DEO state and local policies and procedures
  • Obtain required written consent on employer’s letter head or an email directly from employer authorizing consent for the third-party agent to post available positions
  • Enter appropriate EmployFlorida case notes documenting all employer interactions and transactions
  • Ensure required documentation is obtained, scanned into ATLAS and stored
  • Closely review pending job orders to comply with non-discrimination requirements
  • Ensure O*NET code used for a specific job opening matches the job description
  • Generate reports in EmployFlorida and manage job orders to minimize the potential for expired job orders
  • Track individual reports on productivity, weekly contributions and submit to management team
  • Establish a follow-up system for employer outreach to include initial contact and contact prior to job order closure
  • Ensure compliance with DEO WP Job Order programmatic monitoring
  • Adhere to standard template emails and phone scripts to ensure continuity in employer messaging
  • Initiate and maintain working relations with local employers, co-workers, and customers
  • Work in a dynamic environment that requires the incumbent to be sensitive to change and responsive to changing goals, priorities, and needs
  • Determine the approach for completing tasks while following general guidelines
  • Respond timely to any internal programmatic monitoring
  • Assist with the creation of local procedure guides as necessary
  • Record job responsibilities and task data within job bank system
  • Evaluate and standardize office procedures and effectively troubleshoot and resolve issues
  • Other duties as assigned
Qualifications:
Education and Experience Requirements:
  • Organizational, attention to detail, multi-tasking, customer service and deadline skills are required
  • Excellent communication and problem-solving skills
  • Ability to navigate and utilize internet for research
  • Ability to perform data entry meeting quality and quantity standards
  • Proficient in Microsoft Office applications
  • High School Diploma or GED
  • Associate’s Degree or Bachelor's degree in business, human resources or related area is preferred
  • Ability to prioritize tasks and document contacts
  • Florida Workforce Professional Certification Tier I required (must be completed within 1 year of employment)
  • Valid driver’s license required
