The Raleigh Convention and Performing Arts Center (RCPAC) has an amazing team of people who operate four unique venues – Raleigh Convention Center, Duke Energy Center for the Performing Arts, Red Hat Amphitheater, and Coastal Credit Union Music Park at Walnut Creek. Our goal is to shine and lead the way for others in our industry and provide exciting events to the City, including touring shows, concerts, unique conventions, festivals and expos.

This role focuses on fostering and creating successful relationships in three key areas: Sponsorships and Fulfillments, guests and clients of our venues, and internal customers.

The Relationship Fulfillment Coordinator works in the Administrative Division, supporting work across all RCPAC venues. The primary purpose of this role is to provide a wide range of direct administrative and service support to the RCPAC’s leadership team, guests, sponsors and commission board members. The ideal candidate will demonstrate strong collaborative, problem solving skills, along with flexibility and a desire to provide amazing service. This role also serves as the front desk attendant at the RCPAC. As such, excellent interpersonal and customer service skills are a must.

This position will report to the Director/GM of the complex but will regularly work with and take direction from several members of leadership. The work hours are primarily Monday - Friday; 8:30 am – 5:00 pm, with additional hours on occasion.

Duties and Responsibilities

  • Function as the point person for the Raleigh Convention and Performing Arts Complex Commission/Board which includes scheduling, minute taking, and packet and agenda preparation, introductions and resolving questions.
  • Preparation of agenda items for Raleigh City Council (BoardDocs)
  • Assist with client communication and responding to guest service calls, inquiries, and concerns
  • Fulfill sponsorship /partnership contracts inclusive of filling ticketing requests, arranging events, tracking payment dates and answering inquiries.
  • Maintain strong customer relationships and reviews and tracks guest service scores.
  • Support staff committees, coordinating All-Staff Meetings and other staff events
  • Schedule interviews and preparing interview packets in support of the hiring process.
  • Manage office supply inventories and purchases
  • Serve as the Departmental Wellness Champion by communicating and leading wellness initiatives generated by the City’s Human Resources Department
  • Assist with volunteer usher program, including intake interest forms and background screening
  • Sales/department special event planning support including creating invitation lists, managing RSVP, gift bags, name tags, registration etc.
  • Support training and development efforts by scheduling sessions and coordinating logistics.

Typical Qualifications

Education and Experience:
Associate Degree in business administration or related field and four years of advanced administrative support, customer service, and paraprofessional analytical work, preferably with experience supporting an organization's top executives.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Positions in this class typically require standing, walking, fingering, grasping, talking, hearing, seeing and repetitive motions.

Sedentary Work:
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Working Conditions:
Work is routinely performed in an indoor, office environment.
