Job Summary:

The Senior Accountant plays a vital role in the organization’s financial stewardship. The Senior Accountant performs comprehensive accounting operations, including general ledger maintenance, account analysis, and reconciliation, preparation of financial reports, and other accounting duties as assigned. A solid knowledge of Generally Accepted Accounting Principles (GAAP) and advanced Excel skills are required to complete monthly accounting and reporting duties. Must be highly organized and detail-oriented; and able to work with little to no supervision while performing under pressure.

The Senior Accountant Is responsible for compiling, analyzing, and recording financial transactions in coordination with team members based on monthly, quarterly, and year-end close process deadlines. Based on knowledge of contract deliverables, can coherently communicate complex accounting information to non-accounting staff, including revenue and expense projections, budget to actuals, and other applicable information. The Senior Accountant must generate accurate reports to support the creation of monthly/quarterly invoices and substantiate journal entries, bank reconciliations, contract tracking workbooks, accruals, allocations, amortizations, and draw requests to funders. Participates in the budget process with Program Directors and monitors expenses against budgets for reimbursable expenses based on contract terms.

Verifies financial transactions and determines action steps using sound analytical skills, critical thinking, and thorough knowledge of accounting procedures. Awareness and ability to interpret and comply with all federal, state, and local contact requirements. Able to break down complex payments and apply them to invoices. Able to create Standard Operating Procedures (SOP) manual for accounting policy and procedures and develop and implement improvements to existing policy and procedures.

Essential Duties

  • Ensures the integrity of accounting information by validating, recording, consolidating, and entering transactions in Quickbooks promptly. Determines accruals and compiles data for accurate monthly, quarterly, and year-end financial reporting.

  • Analyzes financial information detailing assets, liabilities, and capital; prepares and reconciles balance sheet accounts to generate periodic profit and loss statements and other reports to summarize and interpret current and projected financial position.

  • Ability to maintain all related data to invoice and account for contracts based on the specific terms of each issuer, comply with legal requirements and mandates, and work with the Contract Financial Analyst, Program Managers, and funders to meet timelines for mandated reporting and billing. Build effective working relationships with all constituents, from the program manager to the funder, across and up and down the organization. Organize and maintain contracts and spreadsheets in shared files, together with relevant documentation. Understand accounting and invoicing for direct and indirect costs.

  • Be responsive, with excellent communication and follow-up skills. Support Accounts Payable Specialist to ensure timely accrual and billing of reimbursable contract expenses.

Responsibilities and Duties:

  • Compiles and analyzes financial information to prepare entries to accounts in the general ledger documenting business transactions.

  • Performs assigned month-end close duties on a timely basis, including preparation of journal entries, reconciling balance sheet accounts, budget to actual reports, and drafting financial statements.

  • Compiles periodic and ad-hoc management reporting as needed.

  • Records revenue and expenses in compliance with GAAP.

  • Works closely with Contracts Analyst to ensure payroll allocations, direct and indirect costs, revenue, and reporting, including supporting documentation, are accurate and compliant with funder requirements.

  • Maintains fixed asset records, including the recording of additions, disposals, transfers, gains and losses, and depreciation and amortization expenses.

  • Assists in the preparation of audit schedules. Organizes and maintains all company records following financial and funder audits.

  • Records and accrues payroll liabilities and understands related allocations.

  • Able to record 403(b) plan contributions and prepare annual 5500 reports.

  • Investigates and determine cost variations and trends.

  • Performs ad hoc financial analysis to determine the appropriate indirect rate.

  • Assists in process improvement projects, including streamlining accounting, payroll, and expense reporting processes and technologies. Recommend revenue enhancement and cost reductions.

  • Analyze financial reports for accuracy and discrepancies and alert others if necessary.

  • Maintains punctual, regular, and predictable attendance.

  • Works collaboratively in a team environment with a spirit of cooperation.

  • Displays excellent communication skills, including presentation, persuasion, and negotiation skills required to work with internal and external colleagues, with the ability to communicate effectively and remain calm and courteous under pressure.

  • Respectfully takes direction from manager and others.

  • Performs other duties as assigned.


Supervisory Responsibilities:

This position does not have supervisory responsibilities; however, it may grow into a supervisory role as the finance team grows.

Qualifications:

Advances in MS Excel skills, including VLOOKUPs and pivot tables. Accuracy and attention to detail.

Experience/Education:

  • Bachelor’s degree in accounting or finance from a four-year college or university; and four to six years related experience and/or training; or equivalent combination of education and experience. In-depth understanding of Generally Accepted Accounting Principles (GAAP).

  • Non-Profit experience is a plus, especially working with a large volume of federal, state, and other government agency contracts, grants, and donations.


  • Has significant knowledge of QuickBooks Non-Profit Edition and Microsoft Excel. Strong understanding of Generally Accepted Accounting Principles, with preferred experience working in the accounting department of a non-profit organization.

  • This position does not require certificates, licenses, or registrations, however candidates with an active CPA license will be considered more favorably.
