The Volunteer Coordinator recruits, trains, supervises and coordinates hospice volunteers in all aspects of care delivery and support services for hospice and palliative care patients and their family members.

ESSENTIAL FUNCTIONS

1. Recruits, screens, orients, plans and directs volunteers to ensure adequate number of volunteers are maintained to meet program mandates.

  • Collaborate with Hospice Manager to assess adequate number of volunteers and volunteer services (“Teams”) to meet needs of Hospice program.
  • Collaborate with Palliative IDT and Director of AIM to provide targeted volunteer services (Legacy Chat, Veteran Support, etc.) to meet needs of Palliative program.
  • Collaborate with NVNA stakeholders (COO, Communication Committee, Certified Team, Business Development) to explore and coordinate expansion of volunteer services across spectrum of NVNA programs.
  • Collaborate with NVNA Stakeholder to coordinate goals and strategies for recruitment of new volunteers
  • Coordinate and track all communication (emails, phone calls, in-person meetings) with prospective volunteers;
  • Facilitate monthly volunteer orientations; collaborate with Hospice Education Team to develop and maintain up-to-date orientation and onboarding materials;
  • Collaborate with PRHH Clinical Director and Hospice Director in assessing and supporting volunteer communication and workflow with patients/families, and with IDT clinicians.
  • Oversee administrative maintenance of Volunteer Orientation Materials.
  • Oversee administrative facilitation of email correspondence with prospective volunteers to include; onboarding checklists; organize onboarding paperwork and new volunteer personnel files
  • Oversee administrative collaboration with Community Health, HR, IT and PPE teams to include respective volunteer onboarding checklists.

2. Assigns volunteers to service on the basis of program needs and the volunteers' interest and skills.

3. Oversees assignment of volunteers to patients and families and provides support to volunteers as needed.

4. Monitors and evaluates volunteers' performance with responsibility for yearly and on-site reviews

  • Facilitate annual on-site performance reviews for all volunteers.
  • Supervise and maintenance of up-to-date volunteer personnel files, collaborating w/HR, QAPI, and Hospice Education teams.

5. Develops and monitors a record-keeping system which includes services delivered and actual time involved, supervising VOL and Data entry workflow.

6. Supervises the maintenance of records, statistics and information to support hospice volunteer function.

7. Coordinates volunteer education activities including in-services and other special events recognizing hospice volunteers.

  • Facilitate monthly volunteer team meetings and additional opportunities for group, one-to-one, and peer-to-peer supervision
  • Supervise and evaluate the performance of new volunteers;
  • Collaborate with NVNA Stakeholders (COO, Development Team) in developing volunteer engagement (Ambassador Program, etc.) and appreciation events (Volunteer Luncheon, etc.)

8. Facilitates community awareness and support of the Hospice Volunteer Program through targeted programs as able.

  • Collaborate with NVNA stakeholders (COO, Communication Committee, Business Development) in coordinating targeted community engagement opportunities (Legacy Chat, Veterans and VSO engagement, etc.)
  • Develop and maintain relationships with community stakeholders (HHRLA, VSOs, Councils-on-Aging, etc)
  • Organize and facilitate volunteer-specific community outreach events (Legacy Chats, VSO coffees etc.)

9. Participates in the annual memorial service and other hospice programs and events.

10. Participates in the orientation of other Hospice staff as requested.

11. Functions as a member of the Interdisciplinary Team. Assists IDT to be attuned to indicators for referral and maximize the use of volunteers.

12. Develops, maintains and audits HR paper and electronics files on all volunteers.

NON-ESSENTIAL FUNCTIONS:

1. Performs other duties as assigned.

Skills and Abilities:

  • Strong interpersonal and communication skills required.
  • Demonstrated ability to provide a supportive and sensitive approach to volunteer and patient/family needs.
  • Strong organizational and time management skills required.
  • Good computer and keyboarding skills are needed with an intermediate level of knowledge of MS Office.

Education:

  • Bachelor's Degree in Communications, Public Relations or a Human Services-related field strongly preferred.

Experience:

  • Two plus years of experience in successfully managing a volunteer program required.
