Brief Position Overview
SUMMARY :
The primary responsibilities of the Accounting Associate IV include performing audit and accounting duties in support of the University Pcard, travel and accounts payable function of the Business Services department. These include but are not limited to auditing invoices and requests for payment, routing and tracking documents within the department, central offices and University departments, auditing and reviewing purchasing card transactions of all departments on campus, reviewing and processing travel and general reimbursements for all faculty, staff and students, reconciling and researching vendor statements and payments, composing correspondence as necessary; data entry and filing. Audit of accounts payable documents for all departments, involves checking to see that the expense is both reported accurately and is in compliance with all applicable laws, regulations and policies. The Pcard/Travel Auditor evaluates MSU Billings financial processes and procedures for effectiveness and accuracy in accordance with best practice and financial/accounting standards and provide recommendations to supervisor or manager. This position is also responsible for providing excellent customer service to departments as well as outside vendors. As well as, serving as the front line to Business Services/Student Account. This includes, answering the main phone line, assisting in student accounts, directing students to appropriate specialist within student accounts office, knowledge of accounts receivable, collections, 3rd party billing, and the mail room.

Duties and Responsibilities
Accounts Payable Duties and Responsibilities:
  • Knowledge and Management of the University invoices and statement process and procedure
  • Review all Banner Payment Authorizations submitted for processing
  • Review and reconcile the Team Travel and employee advance requests
  • Knowledge of the Accounts Payable Process for reimbursements with balances due on Accounts Receivable
  • Knowledge and review of Accounts Payable Shared Email
  • Knowledge and Overview of the Business Services DocuSign shared email and Document & Tracking
  • Knowledge of Banner Finance and Accounts Payable, and Accounts Receivable Modules
  • Assist in accounting for all Fiscal Year End required accrual orders, Accounts Payable orders & payments
  • Train all University Staff as needed in various systems across the office/university
  • Remain in compliance of all State, OCHE,MUS, and BOR Policies and Procedures
  • Manage, review and audit all Chrome River Purchasing Card transactions
  • Train all University Employees daily on Chrome River Travel and Expense Management processes
  • Assist in managing the Chrome River processes for Fiscal Year End Deadlines
  • Knowledge of collections process and procedure
  • Manage, maintain and setup of student Installments payment plans
  • Knowledge of Write Off process and procedure Knowledge of the third-party process and procedure
  • Knowledge of the 1042 and 1098T Processes
  • Knowledge of the student refund and third-party refund process and procedure
  • Knowledge of military student account processes & coordination with the Military Success Center and Federal programs.
  • Knowledge and management of Odyssey and student accounts
  • Knowledge and management of student accounts Electric Document Management
  • Knowledge of the QuikPAY Nelnet and SCR processes
  • Knowledge of the PayMyTuition International Accounts Receivable process
  • Knowledge of repayment agreement process and procedure
  • Assist with the front line and customer access to Business Services
  • Knowledge of dual credit students and third-party process and procedure
  • Knowledge of the University withdrawal process and procedure
  • Knowledge of Accounts Payable Banner Payment Authorizations in review of Accounts Receivable balances due
  • Knowledge of the Facility Service Rentals and rent process and reconciliation
  • Knowledge of the Family Housing Accounts Receivable process and reconciliation
  • Knowledge of Student Accounts related workshops with Orientation
  • Auditing all departments throughout campus


Mailroom Duties and Responsibilities:
  • Knowledge of processing packages and delivery
  • Knowledge of processing mail sorting
  • Knowledge of processing postage services on the postal machine
  • Knowledge of processing bulk mailing
  • Knowledge of processing presort
  • Assist and guide students in mailing packages by USPS requirements
  • Processing and charging Federal Express packages
Other Business Services Duties and Responsibilities:
  • Knowledge of Electronic Document Management in Banner Finance/Student/Etc.
  • Knowledge of PCI DSS Compliance
  • Knowledge of SaaS reporting
  • Assist in training all university employees on Business Services process
