About the Role

We are seeking an Executive Assistant for our New Jersey location. You will provide a high level of administrative support to our C-Level and Executive leadership. This highly visible position will interface with all levels of leadership, employees, clients and partners. This is a fast-paced role that requires an extremely organized, articulate, and proactive individual with specific knowledge of the company and executive’s needs.

This candidate must have exceptional organizational skills and be able to take a creative approach to problem-solving. You will oversee complex calendars and schedules, book travel, submit expenses, prepare/edit meeting materials and PowerPoint presentations, and manage fast-moving operations that require resourcefulness, excellent judgment and a sense of urgency.

What you’ll do:

  • Work closely with the executives, proactively anticipating expectations, needs and performance standards.
  • Understand complex priorities to ensure that the executive’s time is optimized with minimal input.
  • Manage a multifaceted, continuously changing business and personal travel schedule ensuring it meets the needs of the business and personal priorities.
  • Proactively Coordinate and manage international and domestic travel; arrange detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings
  • Manage high volume calendars (domestic and international) - scheduling, organizing, and managing complicated and sometimes hectic schedules. Ensure that the executives stay on track during their day; prioritize meeting requests and handle conflicts or scheduling changes
  • Handle sensitive situations with professionalism, confidentiality, and good judgment.
  • Utilize knowledge of the company’s business to effectively conduct research as needed for special projects.
  • Track, monitor, and guide progress of projects and action items to ensure they remain on course.
  • Prioritizing and managing multiple projects simultaneously, while following through on issues in a timely manner
  • Assist other team members with special project deliverables as needed.
  • Work independently on special assignments and projects.
  • Work on projects and scheduling coordination with team members from international offices; assist in maintaining communication across all global offices
  • Acting as a liaison for direct reports.
  • Highly independent in coordinating activities between departments and outside parties.
  • Coordinate onsite and offsite events for small and large groups (i.e. executive staff meetings, quarterly team off sites, annual team summits)
  • Create and edit presentations, spreadsheets and other various documents
  • Coordinate weekly team updates and quarterly reviews
  • Effectively handle related activities and communications with a high degree of professionalism, accuracy and confidentiality

Qualifications:

  • 5+ years providing high-level administrative support to one or more executives
  • Bachelor’s Degree preferred
  • Proficiency in MS Office Suite
  • Excellent written and verbal communication skills, including the ability to draft, edit, and proofread presentation materials with precision
  • Sharp, highly intuitive, and able to anticipate up-to-the-minute needs
  • Highly collaborative and flexible to adapt to changes in schedule and procedure
  • Outstanding ability to juggle competing priorities and thrive in a deadline-driven environment
  • Ability to work directly with senior staff in an honest and respectful manner
  • Proactive and responsive to feedback and redirection
  • Good judgment and discretion with highly confidential information
