This position is involved with the preparation, distribution and maintenance of catalog records for use throughout Monroe County Library System and the Rochester Public Library. In addition, an incumbent of this position provides assistance to the Librarian I to ensure continual supervision of and efficient records processing by clerical staff. Prior knowledge of library systems and methods is required, and this provides the main distinction between this and most other clerical titles. General supervision is received from the Librarian I; the incumbent participates in the training of subordinate employees and coordinates their work activities. Related work is performed as required.
Researches problems or questions from Central, Branches and Member libraries to resolve discrepancies between all materials and catalog records;
Communicates with personnel in other Central, Branches and Member libraries to exchange information regarding all materials in order to resolve cataloging problems;
Assists in supervising clerical employees, such as by monitoring performance, reporting/documenting problems, and, in the absence of supervisor, verifying time cards and directing work activities;
Assists in developing and revising clerical procedures associated with the cataloging of all materials;
In the absence of the supervisor, compiles payroll information and documentation for the Division of Technical Services;
Trains others in the procedures used to catalog select materials;
Obtains and edits records from OCLC computer database, Library of Congress classification information for a variety of materials;
Inputs cataloging information into remote (OCLC) and local computerized database record keeping systems;
Produces statistical reports of cataloging activity;
Maintains integrity of database regarding deletion of records and OCLC holdings.
High school diploma or G.E.D. PLUS
1. Three (3) years of library clerical experience which involved: preparing, organizing, or maintaining records of cataloged materials, computer searching using a standard library organizational system such as Dewey Decimal or Library of Congress AND Either processing new acquisitions or receiving materials AND
2. One (1) year of work experience which included using a desktop computer for word processing or accessing a database The work experience required in sections 1 and 2 may have been acquired simultaneously or separately.

The concepts covered, usually in a situational question format, include such topics as assigning and reviewing work; evaluating performance; maintaining work standards; motivating and developing subordinates; implementing procedural change; increasing efficiency; and dealing with problems of absenteeism, morale, and discipline.
- The New York State Department of Civil Service has not prepared a test guide for this examination. However, candidates may find information in the publication 'General Guide to Written Tests' helpful in preparing for this test.
