Job Summary:
The basic function of the Parts Buyer is to protect company assets through effective purchasing and transferring of inventory following assigned procedures and cooperate with all departments to achieve customer satisfaction.
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure that requisition and purchasing activities conform to policy and procedure.
  • Sourcing and purchasing of parts and materials for service work orders and jobs
  • Perform tasks related to purchase orders, receiving, and returns.
  • Communicating with vendors via phone or e-mail to place orders and track status.
  • Complete paperwork neatly and within a 24 hour timeframe follow up to the appropriate people to ensure flow across all departments.
  • As a member of the parts team, participate in the cross-training of the parts department tasks and duties to ensure all responsibilities are adequately covered.
  • Be able to demonstrate proficiency in safe handling and operation of a forklift.
  • Competent to assist with receiving small parcel deliveries and occasional trucks.
  • Assist service and sales department in quotes, part locations, and factory service information.
  • Assist in inventory control. Ensure inventory leaving stockroom has proper paperwork.
  • The parts buyer is responsible for completing any other task that may be assigned or requested by the Parts Supervisor or the Purchasing Manager.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES

  • Must have working knowledge of applicable computer software, including Microsoft Office and Windows.
  • Ability to operate office equipment, such as fax, calculator, printer, telephone, and other communication tools.
  • Must be knowledgeable of and familiar with refrigeration, heating, air conditioning, ventilation, and electrical terminology.
  • Knowledge of purchasing and price negotiations.
  • Must exhibit a consistent level of customer service skills and abilities in all interactions with customers.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fraction, and decimals.
  • Ability to solve practical problems and deal with numerous variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • This position requires flexibility, strong communication skills, and the ability to prioritize and make decisions.

EDUCATION, EXPERIENCE AND/OR LICENSES:

  • High school diploma or general education degree (GED)
  • One year of related experience is preferred.
  • A valid Pennsylvania driver’s license and personal driving record acceptable as required by company’s vehicle insurance policy in order to drive and operate a company vehicle.

Work Environment
This job generally operates in a clean, well-lit and climate controlled professional office environment with minimal physical hazards and noise. This role routinely uses standard office equipment such as computers, phones, printers, etc. Periodic overnight or day trip travel as well as the ability to tour worksites will be necessary for this position based upon the supported business units.
Physical Demands
While performing the duties of this job, the employee is regularly required to stand, sit, walk, talk, hear, drive, and use hands and fingers. The employee is occasionally required to reach, stoop and kneel. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
