Job Purpose
Essential Duties
These job functions are the essential duties of the position and are not all-inclusive of all the duties the incumbent may be assigned.

Duty I: General Records Duties
55% Time
Essential

Tasks:
? Receive, maintain, and record reports, arrest records, subpoenas, and requests into the support services system.
? Receive, maintain, and process confidential records and reports in compliance with laws and regulations, handle criminal history backgrounds for the Court, County Attorney"s office, FBI, and other agencies.
? Receive, maintain, and process temporary restraining orders.
? Process, enter, file, copy, and remove missing persons/missing persons reports.
? Process, enter, file, copy & pull local wants/warrants.
? Conduct records checks for criminal justice agencies.
? Assist with background checks on Lewis and Clark County Sheriff"s Office concealed weapon permits.
? Initiate and maintain arrest jacket files.
? Access restraining order information and warrants.
? Order and maintain office supplies.
? Perform other related duties as required for this position.

Duty 2: Billing and Customer Service
35% Time
Essential

Tasks:
? Bill appropriately and receive fees for chargeable false alarm fees.
? Maintains alarm permit system; bill appropriately and receive fees.
? Collect fees for incident reports or provides response with reasons as to why the request cannot be honored.
? Accept payments from the public and various agencies; balance daily cash receipts, and cash drawer; prepare bank deposit.
? Answer telephone and assist the public with questions related to police records and reports; responds to public inquiries in a courteous manner; provide information within the area of the assignment.
? Provide customer services at the walk-up window.

Duty 3: Sex and Violent Offender Registry
10% Time
Secondary Duties

Tasks:
? Process new registrations & paperwork for sexual & violent offenders, photographing, fingerprinting, confirm DNA collection, payment collection and maintain offender files. Work Schedule
Daily Shift: 8:00am - 5:00pm

Essential Knowledge, Skills and Abilities Related to this Position: - Knowledge of:

Applicable State and Federal Laws.
Departmental policies and procedures.
Common accepted office practices related to filing, telephone etiquette, and customer service.
Principles and procedures of record keeping.
Principles and techniques used in dealing with the public.
English usage, spelling, vocabulary, grammar, and punctuation.
Modern office practices, methods, and equipment including computer equipment and applicable software applications.

Skill or ability to:
Edit and/or deny the release of police information and records, in compliance with State and Federal laws, regulations, department policy, and common law.
Understand and interpret rules and regulations.
Prepare and maintain confidential data and information.
Type and enter data at a speed necessary for successful job performance.
Perform general clerical work involving the use of independent judgment and personal initiative.
Prepare and maintain accurate complete records.
Plan and organize work to meet schedules and deadlines.
Communicate clearly and concisely, both orally and in writing.
Learn, interpret, and apply the policies, procedures, laws, codes, and regulations pertaining to assigned programs, functions, and the criminal justice system.
Skill or ability to: (Continued)

Understand the organization and operation of the assigned department and the City necessary to assume assigned responsibilities.
Acquire a working knowledge of Police Department and Sheriff"s Office procedures, terminology, and practices.
Prioritize and manage multiple projects or work duties.
Effectively communicate with others, including Sexual and Violent Offender registrants, in person, by telephone, and by written/electronic means.
Understand and follow written and verbal directions from supervisors in addition to city and department policies and procedures.
Operate a Windows-based personal computer, including standard office software (such as email applications and Microsoft Office), customized software and successfully complete required security awareness training.
Operate common office equipment such as a copy machine and telephone.
Work in accordance with the mission, goals, and values of the Helena Police Department and the City of Helena.
Abide by confidentiality of criminal justice information.
Successfully pass a thorough background investigation.
Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.
Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
License and/or Certificate Requirements
Obtain CJIN/NCIC Certification (Department of Justice) within two months of hire.

Must possess a valid driver"s license with acceptable driving record at the time of hire or have the ability to obtain a valid MT driver"s license within six months of hire. Application Special Instructions
