Occ Summary

Plan, coordinate and administer activities within assigned program areas; develop, coordinate and advise on policy related to assigned major programs. Typically exercises full supervision over regular Duke staff.


Work Performed:

  • Receive and respond to requests for information and assistance from alumni, complete/coordinate all requests for credentialing and recommendation letters for alumni. Coordinate and disseminate information on employment opportunities for alumni. Collect job data for alumni and provide statistics for faculty and staff needs such as grants, research, etc.
  • Maintain and update alumni databases to include maintenance of all data and administration of the alumni survey. Serve as liaison between alumni body and the School of Medicine Registrar’s Office and Financial Aid Office.
  • Coordinate and execute all aspects of alumni events:
  • Two annual national meetings, reception at NC conference and annual alumni weekend reception. This work includes arranging all catering, coordination and participation in all set up and break down of events.
  • Coordinate graduation ceremony, reception and alumni of the year dinner - responsible for programs, scheduling appropriate security, handle all parking for events on campus, student/alumni awards, etc. Develop and adhere to budget for each event listed above. Analyze budget trends for future event expenditures.
  • AAPA Alumni Events that are held annually all over the country; develop and coordinate regional alumni events held bi-annually, plan and coordinate annual job fair and annual residency fair. Represent PA Program at meetings regarding alumni with the School of Medicine and Duke alumni Affairs.
  • Coordinate and execute preceptor development initiatives with alumni as directed by the clinical year faculty members. Identify and recruit potential preceptors. Facilitate all sponsored accounts and consulting appointments. Order and distribute appreciation materials.
  • Supervise staff assistant who works primarily with the clinical year team and Clinical Year Program Coordinator, review time away requests, monitor and approve time records and write performance evaluations.
  • Participate in career advising, and provides assistance with networking with alumni and links with resources. Meets with the majority of the graduating class for more personalized advising regarding licensing, job search, etc. Creates resources and tutorials to aid in postgraduate preparation.
  • Plan and coordinate PA Alumni magazine that is published annually. This includes preliminary writing and editing of all articles to the final published product.
  • Assist with alumni solicitation letters, process donations, manage donation gift program and develop and execute class gift campaign.
  • Serve as PA website editor, maintain online job board, notary to entire PA division, maintain SPCE tab of ARC-PA portal, CMEI Program for clinical preceptors.
  • Coordinate PHS III with Director of Clinical Education, including organizing and executing Call Back Day content and Senior Seminar
  • Create and maintain all Clinical Year Sakai courses.
  • Clinical Year auditing for course grading and enter grade participation elements.
  • Responsible for loading student information into NCCPA and purchasing PANCE practice test.
  • Creates and maintains surveys in Qualtrics for Clinical Year

Minimum Qualifications

Education


Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience


Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
