Are you looking for an opportunity to show your team leadership and office support skills? The key position of Program Coordinator - SportsPlex works closely with customers and Sports Central staff performing a variety of services in support of Village and Recreation & Parks Department programs, events, facilities and initiatives. The Sportsplex Program Coordinator, in addition to selling memberships, issuing resident IDs, registering customers for programs and performing various clerical duties, will conduct orientation, staff training, and schedule Sportsplex Sports Central Staff.
Key Responsibilities:

Regular and consistent attendance is required for this position. Morning, afternoon, early evening and Saturdays are typical of this position.
  • Provides training to part-time Sports Central staff.
  • Assists with the interview process of Sports Central staff.
  • Conducts orientation of new Sports Central staff.
  • Responsible for coordinating the Sports Center monthly staff schedule. Receives/responds to staff absences. Covers open Sports Central shift when other staff are not available.
  • Promptly, professionally and accurately responds to phone inquiries regarding program availability, memberships, rental availability and fees, events, and community information. Routes calls to other staff and departments.
  • Place calls to participants regarding cancelled classes, transfers, refunds or credits from supervisor program updates.
  • With great care, respect and cordialness, greets and assists all visitors and participants.
  • Registers participants for department programs and membership passes, using ActiveNet software processing hundreds to thousands of dollars each day.
  • Accepts, processes and verifies applications for Sportsplex memberships, thoroughly detailing contract requirements i.e. cancellation policy, suspension policy, etc., correctly sets up payment schedules and issues photo ID cards.
  • Accepts, processes and verifies Centennial Park Aquatic Center memberships, issuing photo ID cards.
  • Accepts and processes applications for Dog Park memberships, verifying veterinary office documentation that required vaccines are current.
  • Verify the Internet payment processing reports for residency, birth certificates and special needs.
  • Maintains confidential files for memberships, birth certificates, Special Recreation health information, scholarship applications, payment process reports, etc.
  • Using ActiveNet Resource Scheduler, reserves facility rooms ensuring room set-up details and diagrams are consistent with facility amenities; in addition to reserving picnic areas, birthday parties and fitness assessments, orientations and appointments. Issues the proper agreement/permits and collects appropriate payment and security deposits. Processes payments from associations that reserve Recreation and Park fields and gyms.
  • Runs reports for facility usage, rosters and attendance sheets for supervisors/instructors, membership status, program status, renewal letters for senior club members, expiring non-resident membership card holders, etc.
  • Other additional duties as assigned, interviewed candidates should receive a job description
  • Must be able to work a flexible schedule including 2 Saturday mornings per month. On average, this position will work 20-25 hours per week.
Qualifications, Knowledge, Skills:
KNOWLEDGE (of):
  • Strong math, organizational and computer skills; working knowledge of Microsoft Office using Excel, Word and Outlook are required.

SKILLS:
  • Ability to operate standard office equipment and a 10 key calculator with one hand.

ABILITY (to):
  • An ability to forge and develop strong relationships is expected. Exceptional communication and interpersonal skills are necessary.
  • Must work well in a team environment, performing with tact and courtesy in stressful situations.
Compensation & Benefits:
This is a part time position, typically scheduled 20-29 per week and eligible for mandatory IMRF based on scheduled hours (Illinois Municipal Retirement Fund).

Hourly rate: $17.50
