Purpose of Job

The purpose of this job is to plan and coordinate projects for the Mayor’s Office of Cultural Affairs’ (OCA) Public Art Program. Duties include but are not limited to: communicating with the public; coordinating plans for specific public art projects and internal office projects; all administration associated with specific art installations; managing the procurement process for Public Art; ordering supplies; and performing additional tasks as assigned by the Art Program Manager.

Essential Duties and Responsibilities

The following duties are normal for this job. These are not to be construed as exclusive or all- inclusive. Other duties may be required and assigned.

Work Delegation:

  • Coordinates logistics of specific projects and implements effective task management, with or without direct supervision while also assisting other team members on their duties and responsibilities.

Communication:

  • Delivers oral presentations internally as well as outside of the OCA
  • Answers questions and inquiries from constituents and city officials in regard to public art projects.

Administrative Duties:

  • Maintains program records, files, creates and maintains databases. Completes daily, weekly, monthly and annual reports.
  • Accurately manages procurement and payables processing related to public art projects and artist payments.
  • Follow all policies and procedures as outlined and assigned during the course of employment.

Fiscal Responsibilities:

  • Responsible for the expenditure and accountability of all funds utilized by and for the project.
  • Supervises payments to consultants, interns and vendors/suppliers.
  • Learns and the City’s procurement and internal office protocol and implements it into daily practice.

Interpersonal Relations:

  • Deals effectively with all constituents, volunteers, consultants and employees.
  • Presents and maintains a professional demeanor with constituents, consultants, employees and governmental officials, at all times.

Marginal Job Functions:

  • Performs all other related duties as required.

Employee proficiency requirements

Knowledge of the policies, procedures and activities of the OCA. Knowledge of a broad range of art practices, artists, curatorial decision-making, as well as knowledge of marketing and public relations strategies; the ability to compile, organize, prepare and maintain an assortment of records, reports and information in an effective manner and according to the departmental and/or governmental regulations. The employee needs to accrue an extensive knowledge of the terminology used within the department. Have the ability to communicate effectively with supervisors, and other staff members. Have the ability to use independent judgment in routine and non-routine situations. Has the mathematical ability to handle required calculations. Is able to utilize and understand computer applications and techniques as necessary in the completion of daily assignments. Has the ability to plan, organize and prioritize daily assignments and work activities. Is able to comprehend and apply regulations and procedures of the department. Is capable of working under a moderate degree of stress related to duties that require constant attention to detail and tight deadlines. Has extensive knowledge of the project procedures and methods as required in the performance of duties.

Qualifications


Bachelor's degree in Art/Arts Administration, Public/Business Administration, Project Management or a related field required; three years of experience in special events or project management; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills and abilities for this job. Public Art experience is preferred.
