Job description

The Public Records Manager’s, also designated Public Records Officer under RCW 42.56, primary duties include managing STA’s digital and physical records, responding to public records requests on behalf of STA, ensuring compliance with the Washington State Public Records Act, State Retention Schedules, ensuring coordination among STA departments in gathering responsive records, and the organization and classification of the agency’s digital and physical records, including retention, archival, tracking, retrieval, and destruction. This position also provides guidance to STA Chiefs and employees regarding general records management and public records fulfillment.

Knowledgeable of and experienced in complying with the Washington State Public Records Act.
Experience developing and administering an organizations records management program.
Ability to influence across an organization at all levels tactfully.
Meticulously organized and detail oriented
Prior supervisory experience
Certified Public Records Officer

Examples of Duties

  • Manage STA’s records management program (digital and physical) to ensure records are properly stored, maintained, archived, and destroyed in compliance with Federal, State and local laws, and STA policies and procedures
  • Manage and respond to public record responses on behalf of STA, and ensure compliance with all requirements of the Public Records Act (RCW 42.56)
  • Provide the fullest assistance to members of the public seeking public records from STA
  • Review all responsive records to determine proper exemptions and/or redactions under RCW 42.56, ensure consistent implementation related

Education and Experience
Bachelors’ degree in business, records management, or related field; and minimum three years of experience overseeing public records management and as a Public Records Officer for a public agency; OR any equivalent combination of experience and education is required. Lead role and/or supervisor experience required. Existing certification in the Washington State Public Records Act under RCW 42.56 and/or Records Retention under RCW 40.14 preferred.
