Registrar – Outpatient Burn and Reconstructive Center

Status: Full Time

Department: Burn and Reconstructive Center at Swedish Medical Center – Outpatient Clinic

Hours per week: 40, eligible for benefits

Shift: Monday - Friday 8:00 - 4:30

1. Job Overview:

  • Registration performed for each clinical visit. Ensure charts are completed and accurate. Verify all insurance and obtain pre-certification/authorization. Calculate and collect patient liable amounts. Ensure that all necessary signatures are obtained for treatments. Answer any questions and explains policies clearly. Process patient charts according to paperwork flow needs and established productivity standards.
  • Contact the nursing staff for emergency medical needs and answer patient and visitor questions. Interview incoming patients, his/her relatives, or other responsible individuals to obtain identifying demographic and insurance information.
  • Develops and maintains effective relationships through effective and timely communication with patients and colleagues on staff.
  • Verify insurance benefits and determines pre-certification status. If pre-certification is needed, call the insurance pre-cert department and initiate review or verify authorization number provided by scheduling staff. Enter all information and authorization numbers into the registration system. Secure all signatures necessary for treatments, release of medical information, assignment of insurance benefits, and payment of services from legally responsible parties. Obtain copies of necessary identification and insurance cards. Explain policies regarding services, charges, insurance billing, and payment of account. Request full or partial payment for services rendered according to collection policies.
  • Collect co-pays, deposits, and deductibles and documents collection status in the system and chart. Issue waivers for signatures when appropriate.
  • Perform the scheduling of new patients and follow up visits; compile new patient charts; controlling clinic flow and order from the front; owning first and last impression for patients/families in a fast-paced clinic. Provide assistance to the Care Coordinator when needed and performing administrative support for all staff, including the RN’s, CHT’s, clinic manager and physicians/physician assistants. Managing phone lines for the clinic. Schedule new patient referrals and notify referring providers if patients do not get scheduled or follow up
  • Promotes the efficiency of intake process by answering phones and assisting callers in a professional and timely manner escalating issues to supervisor as necessary
  • Is knowledgeable and provides customers as needed with program services, offerings
  • Additional duties may include, but are not limited to, collecting copays; performing basic telephone triage duties; copying, scanning and/or filing various documents; and supporting insurance management functions.

  • Proficiency in Microsoft Office Products.
  • Good verbal and written communications
  • Some knowledge about insurance and benefits in order to help direct benefit verifications and obtaining authorizations from a variety of insurance/funding sources.
  • Ability to apply HIPAA compliance to work

3. Essential Functions

  • Lift and/or carry 20 lbs
  • Sit, stand and walk for reasonable periods of time
  • Maintains prompt and regular attendance
  • Performs related work as assigned.

Minimum Qualifications

  • Previous experience in customer service / client experience
  • 1 year or more experience working in Medical Field
  • Previous experience working with Excel and Word Software

Preferred Qualifications:

  • Previous experience using electronic medical records and scheduling software

Education:

  • High school or equivalent (Preferred)

Experience:

  • Insurance verification: 1 year (Preferred)
  • Healthcare: 1 year (Required)
