QUALIFICATIONS: This job requires a high school diploma with technical school experience preferred. Computer experience necessary along with filing, typing and good phone skills. Must possess excellent interpersonal and organizational skills and be able to type 30-40 words per minute.
Thorough knowledge of following office equipment is required: word processor and/or computer system, multiple line phone system, copier, shredder, and adding machine. Act 33 and 34 Clearances required. Must maintain current driver's license and vehicle insurance.

RESPONSIBILITIES:

1. Responsible for scheduling client registration for first time intake appointments, as well as for updating registration yearly. (This will be done via the Community Counseling Center office when clients visit, Behavioral Health Commission phone calls, hospital discharge calls, as well as, incoming calls from other community service agencies that the Counseling Center is affiliated with.) These appointments will be done most often by phone contact, but letters may be required to be sent. Also responsible for rescheduling these appointments if there is a cancellation. This will be kept track of in the computer, which will be kept up-to-date. Responsible for keeping the registration person informed of the schedule on a daily basis. Responsible for scheduling first therapy appointment.
2. Responsible for calling and cancelling appointments when therapist need to cancel and rescheduling the appointment into Credible.
3. Responsible for keeping track of intakes through the Credible system. Developing and maintaining a tickler file system to track intakes when there are cancellation/no show appointments so that they can be processed in a timely manner. Daily.
4. Responsible for typing and sending 5-day letters.
5. Assist with other Clerical Department duties when there is a backlog through vacations or illnesses. As needed.
6. Evening and/or weekend hours may be required.
7. Responsible for changing Credible with name, address, and/or phone number change. Submits information to the Clerical Administrator
8. Will assist in notification of client arrivals to staff personnel. Checking in and following through on all clients to prevent undue excessive waiting by clients.
9. Will assist in calling to arrange transportation for clients that request Transit.
10. Responsible for scheduling registration appointments for all new clients for the group homes and CIS when Clerical Administrator is off or out of the office.
11. Greets consumers and answers calls coming through the main phone system in a pleasant and helpful manner to ensure consumer satisfaction. Takes accurate messages and make sure they get distributed to the proper staff person with the ability to screen incoming calls to the programs as needed.
12. Is courteous and polite to all consumers, clinical staff, supervisors, and other co-workers. Have a professional attitude when maintaining the Message Center.
13. Secures/Opens the building as needed.
14. Collects payments and signatures from clients at check in.
15. Distribute faxes.
16. Accepts and distributes deliveries as needed.
17. Responsible for getting signatures on medication pick-ups.
18. Sends D & A 6 month follow-up letters.
19. Scans D & A encounter forms into Credible.
20. Enters information into Credible from the health questionnaires and scans the health questionnaires into Credible.
21. Tracks clients through Rapid Access and ensuring each day goes smoothly.
22. Monitors the security cameras.
23. Call 911 when appropriate and make announcements during emergencies.
24. Schedule and track clients when they come in for Med Clinic.
25. Close new cases that didn’t follow through both in Hermitage and Greenville.
26. Responsible for entering patient transportation for D&A clients through Primary Health Network system.
27. Responsible for taking employee and client temperatures.
28. Responsible for helping room in and room out clients for distance sessions.

  • Maintain and uphold Community Counseling Center’s policies, respect confidentiality, and exhibit a professional demeanor at all times while at work.
  • Any violation of policies and procedures/job duties will be subject to disciplinary action.
  • Performs other duties as assigned.
  • Participates in CCC CQI plan to ensure quality of service to CCC consumers.
  • Can perform the essential functions of this position with reasonable accommodations, if necessary.

Job Type: Full-time
