Essential Job Functions

  • Prepare daily accounts receivable work. Process the daily front desk interface postings (CL Transfers).
  • Answer correspondence relative to accounts receivables. Prepare journal entries and obtain appropriate level of approval for adjustments. Prepare special billings
  • Apply payments/advance deposits from guest to their accounts.
  • Balance Group Billings and mail them within 72 hours.
  • Balance accounts monthly and mail out daily and monthly statements. Review all accounts to make sure payments and/or deposits are applied. Ensure all back-up are included in the statements before mailing.
  • Perform other duties and responsibilities asked by the Controller or GM based upon department needs.
  • Preside over monthly credit meeting. Attend pre-convention meetings. Resolve problems with 60-day and plus accounts. Complete credit application for all new Direct Bill accounts for submission for approval to the Credit Committee.
  • Ensure all A/R files are kept in storage in compliance with the hotel’s established retention period.
  • Ensure all necessary copies of documents/back-up, such as Banquet checks, are complete and properly files with the Statements.
  • Review and research credit balances.
  • Coordinate with Collections on guest disputes to facilitate prompt payment on the account.
  • Be readily available/ approachable for all guests.
  • Take proactive approaches when dealing with guest concerns. Follow property specific second effort and recovery plan.
  • Ensure staffing levels allow team members to exceed guest needs.
  • Extend professionalism and courtesy to guests at all times.

Position Requirements

  • Associates or Bachelor’s degree in accounting or related field preferred.
  • Previous accounting in the hospitality industry preferred.
  • Working knowledge of Microsoft Office applications, including advanced skills in Excel.

Work Environment and Context

  • Work schedule varies and may include occasionally working past normal scheduled work time, holidays and weekends if required to meet accounting deadlines.
  • Required to sit for extended periods, lift up to 10 pounds, bend, reach, use hands and fingers to operate keyboard.
