Overview:
The Administrative Assistant provides administrative support to ensure operational efficiency. Answers the phone, sets up meetings, distributes company correspondence, maintains files, tracks office inventory, orders supplies when needed, and supports managers in a variety of administrative duties.
Qualifications:
  • 5+ years Administrative Assistant experience
  • Degree preferred
  • Demonstrated ability to work with senior management and complete assigned tasks with minimal supervision.
  • Demonstrated exceptional verbal and written communication skills.
  • Demonstrated pro-active approach to responsibilities along with the ability to multitask, execute requests on time, and ensure attention to detail and high-quality accuracy.
  • Possesses advanced knowledge and experience with Microsoft Office, Windows XP, Excel, Power Point, and MS Outlook. Experience using database software.
  • Demonstrate ability to perform responsibilities in a professional manner and maintain confidences in working with high-level executives and leadership.
  • Excellent analytical and problem resolving skills.
  • Able to manage multiple priorities while meeting deadlines
Responsibilities:
  • Manage and maintain the appointment schedules.
  • Interfaces with high-level internal/external contacts requiring considerable discretion/initiative.
  • Conducts business in a confidential and professional manner.
  • Monitors and maintains approvals and budgeting for office supplies and small equipment.
  • Responsible for office organization, records maintenance, and coordination of functions with individuals in other departments.
  • File and retrieve corporate documents, records, and reports.
  • Update and publish company memos.
  • Prepare responses to correspondence as needed.
  • Develops management presentations.
  • Attends executive team meetings; takes and publishes all meeting notes, and tracks action items.
  • Schedules all travel, and tracks advances.
  • Assists in the planning of company-wide meetings
  • Responsible for expense reports.
  • Maintains contract and legal agreements database.
