Job Summary:

The Confidential Office Support provides support to the President and the President’s Office by coordinating the budget and financial transactions, providing administrative support, training, coordination and support to student assistants.

Responsibilities

Budget and Finance Coordination:
Under the general direction of the Office Manager, the incumbent will provide administrative coordination of the President's Office budget. Responsibilities include, but are not limited to:

  • Incumbent will process reimbursements/payments for President Office Staff and adhere to CSU purchasing and procurement guidelines.
  • Will independently ensure that appropriate funding is used based on division cash planning strategies, accounting categories and follow up on pending financial items as needed.
  • Will create and maintain expense reports for department accounts (including state and auxiliary funds), act as the primary contact for procurement contracts.
  • Enter travel requests and expense reports on the CSUSB Concur Travel System for team travel advances and ensure that required documentation is received in a timely manner.
  • Incumbent will reconcile travel advances and ensure that required documentation is received in a timely manner.
  • Incumbent will attend training as needed to maintain compliance with CSU and CSUSB policies and procedures.

Other Administrative Support:

Incumbent will provide administrative support to the office by performing varied tasks within the Confidential Support Classification Series. Responsibilities include, but are not limited to:

  • Incumbent will research university policy and provide feedback on how it applies to departmental operations.
  • Assist with department events and participate on committees as needed.
  • Assist with reviewing and distributing department correspondence.
  • Provide backup administrative support to the President and Chief of Staff in the absence of the Office Manager & Executive Assistant and/or Scheduler by responding to requests. In the coordination of meetings, this position is regularly involved in communications that may affect collective bargaining unit positions and negotiations. In the preparation of briefing folders, this position views information that may affect collective bargaining unit positions and negotiations. This position is involved in providing information for investigations that may affect collective bargaining unit positions and negotiations.
  • Communicate with clients via verbal, written and electronic correspondence (i.e. answering phones, sending emails, greet clients as they enter the President's Office, etc.)
  • Attend meetings and take notes as needed. This position hears discussions involving personnel transactions (leaves of absence, salary increases, promotions, reclassifications, stipends, in-range progressions) which may affect collective bargaining unit positions and negotiations. This position takes notes at meetings and hears conversations and information that may affect collective bargaining unit positions and negotiations.
  • Follow up on requests in a timely manner.
  • Incumbent will perform varied administrative tasks, projects and communicating with internal and external stakeholders as needed.

Office Lead Coordination:

Incumbent will be responsible for oversight of daily tasks of 3-4 Student Assistants in the performance of routine administrative functions. Responsibilities include, but are not limited to:

  • Incumbent will provide onboarding and training student assistants about customer service to callers and visitors, analyzing and routing incoming mail, monitoring and ordering office supplies, preparing and distributing outbound correspondence, maintaining hard copy and electronic files, provide additional training and guidance as needed.
  • Provide backup administrative support to the office in the absence of Student Assistants.
  • Incumbent will hold meetings with Student Assistants.

Other duties as assigned by HEERA Manager.

Minimum Qualifications: Required Education and Experience

These entry qualifications normally would be obtained through completion of a high school program or its equivalent and a year or more of general office experience.

Required Knowledge, skills, and abilities information

Incumbents at this level work relatively independently and possess the experience to be fully proficient in performing most or all of the work assignments defined for their position. Typically, incumbents have acquired the requisite skills and knowledge through a combination of education, training, and progressive work experience to be able to demonstrate competence in independently applying judgment and nonstandard applications and systems, solving a wide range of problems, developing practicable and thorough solutions, and using effective communication and listening skills.

Compensation and Benefits:

Anticipated Hiring Range: Salary is commensurate with experience.

Classification Salary Range: minimum $3,432 - maximum $6,081
