Position Overview

The Development and Grant Associate will offer administrative support to the Path of Life’s Development Department, which secures resources from donors to sustain growth. They will handle a variety of tasks related to institutional and individual giving. Time may be spent assisting in the management of relationships with current and prospective donors. They will assist with coordinating the pre-award planning, organization, and preparation of various grants under the leadership of the Director of Development and in coordination with the Grant Writer. They may assist with the identification of funding sources to support existing and planned program activities as well as the writing and submission of grant proposals. They may assist with the preparation of proposals, grant applications, and administrative work in researching, identifying, developing, and responding to public and private grant opportunities in areas that support the mission of POLM. The position may also assist in collecting, analyzing, and reporting data on the performance of grant activities.

Essential Functions

Development Associate Role:

  • Assist supervisor with documenting policies, processes, and procedures for development.
  • Learn the donor outreach process and begin specific outreaches as assigned.
  • With supervisor, know and understand the Development Department Plan and Goals.
  • Conduct gift entry, processing, and database management.
  • Assist with weekly and monthly goal tracking through spreadsheets or other systems.
  • Assist with the planning and implementation of events.
  • Assist with the creation and implementation of annual fund campaigns.
  • Assist with master calendar for the Development Department.

Grant Associate Role:

  • Provides guidance and assistance to the grant writer regarding funding agency regulations and requirements.
  • Prepares and complies with designated components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
  • Assist with research, identification, preparation, and submission of proposals for funding.
  • Assists as appropriate in the design, formatting, and preparation of grant documentation.
  • Maintains the database and system for recording and tracking grant proposals, awards, and related statistical information.
  • Develops and maintains a library of reference documentation, including such information as funding agency requirements and forms, investigator profiles and curriculum vitae, abstracts and reference literature, and other pertinent material.
  • Maintains grant schedules and tracking.
  • Assists grant writer with writing and submitting letters of inquiry, concept papers, and grant proposals.
  • Assists with follow-up on the progress of submitted proposals.
  • Develops and maintains a master file on pending grants and contracts.
  • Become cognizant of regulations and other matters of compliance with all grants.
  • Become familiar with and adhere to policies and procedures of POLM and the State of California regarding grant management.
  • Become cognizant of allowability of proposed expenditures related to specific grants.
  • Maintains confidentiality of information exposed to during grant acquisition process.
  • Contributes to a safe working environment by participating in all drills and training and being prepared to act should a health or safety emergency occur.
  • Requires the kind of teamwork, supervision, and personal interaction that cannot be had in a home office situation; therefore, regular, and predictable on-site attendance is a job requirement.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

  • Bachelor’s degree is preferred.
  • Grant writing experience preferred, nonprofit experience, especially regarding gift entry and donor data management is helpful but not required.
  • Ability to work effectively under pressure.
  • Excellent writing and verbal skills.
  • Be highly organized with the ability to implement systems and follow-up processes.
  • Excellent Computer skills (Microsoft Office Word, Access, PowerPoint, and Excel), and database management skills.
  • Motivated self-starter with the ability to work collaboratively and independently with purpose and accuracy in a fast-paced environment.

Preferred Qualifications:

  • Grant writing experience that includes a proven track record of securing new funding opportunities. Comprehensive knowledge of research, and the ability to distinguish and identify funding opportunities.
  • Ability to work effectively under pressure.
  • Excellent writing and verbal skills.
  • Be highly organized with the ability to implement systems and follow-up processes.
  • Proficiency in research, interpreting, and analyzing diverse data preferred.
  • Excellent Computer skills (Microsoft Office Word, Access, PowerPoint, and Excel), and database management skills.
  • Motivated self-starter with the ability to work collaboratively and independently with purpose and accuracy in a fast-paced environment.

Physical Requirements:

  • Primarily sedentary, sitting

Work Environment

  • Work primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use.
  • Subject to a criminal background check prior to employment.

Job Type: Full-time

Pay: $22.50 per hour
