Position Title: Shared Services Associate

Reports to: Associate VP of Revenue, Systems

Supervises: N/A

FLSA: Exempt, salaried

Purpose: This job description provides an overview of the experience, essential functions, physical and other

requirements, working environment and non‐essential job functions for this position at ECI Group

with or without reasonable accommodations.

Experience: Minimum of 4 years in the property management, customer service, and/or collection industry is required. Experience with computers (Word and Excel), YARDI (or other property management software), Internet, Social Media sites, and other relevant applications are required. A high school diploma or equivalent is required. CAM, ARM or CCRM designations are a plus. Additionally, the following are required:

  • Ability to interact well with co‐workers, supervisors, residents, vendors, contractors, and the public in a professional and pleasant manner.
  • Above average organizational and verbal skills. Attention to detail a must.
  • Ability to accurately perform intermediate mathematical functions.
  • Must have ability to work independently and have a clear understanding of business processes
  • Must possess strong customer service skills.
  • Comprehensive knowledge and understanding of multifamily operations including collections, delinquency, renewals, final account statements, evictions, and letters and notices, problem-solving, and budget management.
  • This includes the ability to work in a stressful environment and work peacefully with co-workers and residents. Support the property management team as needed with various tasks

Essential Job Functions

The Shared Services Associate will partner with Asset Management, Operations, and Accounting and is responsible for the financial success of their portfolio related to collections, aged receivables, evictions, late letters, renewals, renewal letters, deposit accounting, and security deposit insurance claims. Specific duties include but are not limited to:

  • Responsible for the day-to-day receivable and related operations for current residents of the assigned portfolio. These duties include but are not limited to the following:
  • Monitoring AR reporting and balances, communicating with residents to schedule payments.
  • File evictions as needed, follow up on eviction status residents.
  • Process deposit refunds for current residents and transition to security deposit insurance as needed.
  • Prepare and electronically deliver all applicable receivable related communication, communicate with onsite team to ensure communications are delivered to door timely as required by SOP.
  • Assure that lease or rental agreements are being properly completed and renewed.
  • Review and check accuracy of resident information including resident account setup, while maintaining accuracy of information (example names, lease dates and billing).
  • Reviews resident files and accounting records to determine unpaid and/or late fees owed, communicates with residents regarding outstanding balances, implements procedures for collecting on delinquencies, and enforces the lease to maximize revenue.
  • Responsible for the day-to-day receivable related operations for notice and past residents of the assigned portfolio. These duties include but are not limited to the following:
  • Remotely perform move-out inspection and notifying resident of damages as required by state/municipality
  • Process deposit accounting for past residents including refunding deposits as necessary
  • Perform in house collections, working with past residents to make timely payments of outstanding balances.
  • Monitor 3rdparty collection progress once accounts have been turned over for collections.
  • File Lease Lock claims and monitor collections.
  • Create and update reporting on security deposit insurance reimbursements
  • Processes resident move-outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, if applicable, and processing the disposition in accordance with established procedures and legal requirements.
  • Manage and monitor all renewals. These include but are not limited to the following:
  • Communicate with residents to secure renewals in an expedient manner.
  • Monitor all fee changes and ensure renewal leases are updated accordingly.
  • Confirm renewal leases are fully executed.
  • Aggressively pursue resident retention.
  • Responsible for the utilization and creation of necessary reporting for assigned portfolio. This includes but is not limited to the following:
  • Preparing monthly analysis on AR, Evictions, Renewals, Deposit Accounting, and Security Deposit Insurance claims.
  • Compare monthly performance to budget and industry benchmarking.
  • Assists with daily and month-end reporting including accurate reporting on resident ledgers.
  • Completes various accounting, financial, administrative, and other reports and performs other duties as assigned or as necessary.

Frequent need (33% to 100%)

NOTE: Lifting and carrying of weights exceeding 50 lbs. is often accomplished with assistance from one or more persons. Personal Protective Gear such as provided back brace, when necessary.

Vision Requirements:

  • Constant need (50% to100%) to read and review reports, view computer screen, complete forms, and enter data.
  • Constant need ((50% to 100%) to see things clearly beyond arm’s reach.
  • Frequent need (33% to 50%) to see small detail.

Speaking, Hearing and Written Requirements:

  • Constant need (50% to 100%) to receive instructions from supervisor, communicate via telephone and in person with co-workers, vendors, etc., for the purpose of receiving information and or direction.
  • Constant need (50% to 100%) to communicate either in writing or typing to staff, vendors, etc.

Driving Requirements:

  • Constant need (50% to 100%) to utilize personal transportation to drive between property locations, make deposits, and view/inspect other apartment communities, etc.
  • Occasional need (1% to 33%) to respond to after hour emergencies.
  • Must maintain valid driver’s license and car registration and maintain proper automobile insurance if driving a vehicle for business purposes.

Working Environment:

  • Constantly indoors (50% to 100%).
  • Rare occasions work under stressful and adverse conditions. Example – open and maintain office during or after a fire, hurricane or other disaster.

Computer Skills

  • Must possess excellent computer skills with advanced knowledge of Word, Excel, Outlook.
  • Familiar with and have worked on industry standard programs such as YARDI, or other such programs.

Job Type: Full-time

Pay: $55,000.00 - $62,000.00 per year
