Job Overview

As the Office Assistant, you’ll be responsible for everything mail room related. This person works under general supervision of the HR department. Key responsibilities include:

  • Daily pick up and drop off of mail at the post office and also internally to departments.
  • Open, sort, prepare, and process daily mail/faxes.
  • Check daily batch folders & pull audits.
  • Operating mailroom equipment (letter stuffer/postage machine/scanners/copiers).
  • Batch claims & correspondence.
  • Pull mail requests as needed from other departments.
  • Mail out checks, EOB’s, and pending letters.
  • Generating and mailing member and employer mailings.
  • Research unidentifiable mail.
  • Navigate and work through multiple systems depending on mail requirements (SDS/MaxxVault/FedEx)
  • Coordinating daily mail processing and delivery services internally.
  • Prepare boxes of files and work with vendor for off-site storage.
  • Maintains compliance with COBRA and other mail outs.
  • Filing, sorting, and shredding of files at necessary time.
  • Maintaining mailroom supplies and equipment.
  • Using judgment in adjusting schedule to meet day-to-day situations and requesting temporary help as needed.
  • Performs other duties as assigned


Experience and Education

  • High school diploma or equivalent. Experience and education may be substituted for one another.
  • At least two years of administrative/mail room experience preferred
  • Experience in Microsoft Office to include Word, Excel, and Outlook
  • Skill in interpersonal and written communication
  • Skills in prioritizing and organizing tasks
  • Ability to work independently and as a member of a team
  • Ability to adapt to a constantly changing environment
  • Ability to take initiative
  • Ability to multi-task
  • Ability to consistently and accurately compile data and perform detailed work
  • Ability to meet deadlines
  • Ability to maintain regular attendance
